How to complete a traceability log

Follow these instructions to complete the traceability log with three clicks in our Smart Traceability app.

Please note:  Before you can start tracing your products, you must set up your digital recipe book.

Tips: Although traceability is available in our desktop solution, all logs are much easier to complete on the FoodDocs mobile app. 

Our free food safety app is accessible on your tablet and other mobile devices on Apple iOS or Android. It's easy to use and saves your time with staying compliant.

Follow these easy steps to start tracing your products:

  • Open your FoodDocs app > Traceability
  • You will find the list of the products that are prepared in last 14 days.
  • To start completing a traceability log, click Search or Scan your products.

Please note: To scan a product code, the recipe must have the code attached. Read the article How to add a recipe to learn how to add a product code.

  • Add Batch no as needed.

Tip: Use the production date for the product batch, e.g., 10/22/2023

  • Expiration date/time is automatically filled according to the data you provided for your recipe or ingredient.
  • Specify the Amount you are preparing.
  • Calculate the quantities of ingredients. All ingredient quantities will be resized according to the amount inserted. 
  • Edit or rewrite the Ingredient batch no and Expiration date if it's not correct for the ingredients you want to trace.

Tip: Ingredients' batch numbers and expiration dates will be automatically filled according to the last ingredients used. After changing them, this new information will be used for the next fields.



  • If you finish one batch of an ingredient and need to use a new batch in your product, you can split the ingredient into multiple batches by clicking the Add batch button.

Tip: If you change the amount before clicking the Add batch button, the system will calculate how much of the new batch you need to add.

Tip: When filling traceability in the app, your team will see Preparation instructions, allergens, and a product picture. This helps your team ensure high-level food safety all over your company.

  • Click Prepare to save your traceability log.
  • You'll see the list of the products prepared in last 14 days.
  • Use the search bar if you need to find specific product batch information prepared within the last 14 days.
  • Tap on the product if you need to change the log and Save changes.

Please note: Deleting a traceability log is enabled only on desktop view.
