How to set up user access?
You can easily manage access to your food safety account by limiting what users can do.
You can collaboratively maintain your FoodDocs account with other colleagues, invite staff members and share your account with 3rd parties (health department inspectors and auditors). Depending on the role, you can manage user access.
There are two main sections where you can grant access to your FoodDocs account: Team and Users.
Please note: in the Team, you add staff members who are involved in food handling and invite them to join your FoodDocs account.
Team
When you added a team member and checked the box "Give this person access to FoodDocs", you can determine their access level:
Monitoring access allows the staff member to:
- read the HACCP plan, and documents (e.g. SOPs and instructions) in the desktop app;
- fill in the daily tasks in the mobile/tablet app;
- trace products and ingredients in the mobile/tablet app;
- use the production traceability log in the desktop app.
Admin access allows the staff member to:
- read, edit, confirm, and download the HACCP plan;
- view, add, and delete documents (e.g. SOPs and instructions);
- add/delete team members and attach their personal certificates;
- create/change/delete recipes;
- use the production traceability log;
- conduct and confirm audits.
Please note: team members with admin access cannot pay for or cancel the subscription to FoodDocs. Only users with company admins can access the Billing section.
Users
In Setup > Users, you see users who have access to your FoodDocs account.
Please note: the status Active user means that the user accepted your invite and logged into FoodDocs; the status Invitation sent means that the user has not yet accepted the invite.
Follow these steps to add another company admin with full access:
- Click Add user
- Fill in the first and last name, email address
- All locations > Admin
- Click Invite
Please note: in Users, you can add an inspector or auditor with All locations > Read-only access. They will be able to view your HACCP plan, documents, team certificates, and monitoring records. Users with company read-only access cannot change the account's data and settings.
